Corporate airport transfers: building a programme your travellers actually use
How to set up chauffeured airport transfers for a company - booking permissions, cost-centre tagging, flight monitoring, duty of care and the failure modes that make travellers book their own cars anyway.

The programme fails when it is slower than the app
Corporate ground transport policies collapse for one reason: booking through the programme takes longer than opening a rideshare app. If an executive assistant needs three emails to arrange a Pearson pickup, they will stop using the programme by the second month. The fix is giving assistants their own booking access with a stored cost centre, so a transfer takes ninety seconds.
What flight monitoring actually saves
The single largest source of disputed charges on corporate ground transport is waiting time on delayed arrivals. When the trip runs off the airline's live feed, a ninety-minute delay moves the pickup by ninety minutes and nobody is billed for the airline's problem. Without it, you are paying a chauffeur to sit in a holding lot. Ask any prospective supplier how their airport transfers handle a diverted flight before you sign anything.
Cost-centre tagging and one monthly invoice
Finance teams do not want forty receipts. Every trip should carry a cost centre, project code or traveller name at the point of booking, and arrive as a single monthly invoice that reconciles without anybody rebuilding it in a spreadsheet. That is standard on our corporate accounts and it is the feature that survives procurement review.
Duty of care is a document, not a feeling
If your organisation has a duty-of-care obligation, ground transport is part of it. You should be able to request, and receive, proof of commercial passenger licensing, insurance certificates, driver background-check policy and vehicle inspection schedules. A supplier who cannot produce those on request is not a corporate supplier.
Where the volume actually is
For most GTA companies the bulk of transfers are a short list of routes: the office to Pearson, Billy Bishop for same-day Ottawa and Montreal meetings, and hotel-to-office runs for visiting colleagues in Mississauga, Markham and Vaughan. Price those four properly and the programme works.

The rest of the trip, booked in one place
We are partnered with BookingWorldwide.net for flights, hotels, resorts, activities, packages and car rentals — so the chauffeur at this end and everything at the far end can be arranged together.
