Moving delegates through Toronto: conference and convention transport that holds
Sizing a shuttle programme for a Toronto conference - peak loads, headways, hotel blocks, venue loading-dock rules and the dispatcher who owns the day.

Start from the peak, not the headcount
A thousand delegates do not need transport for a thousand people. They need enough capacity to clear the morning peak - typically 40 to 60 per cent of the room block moving inside a forty-minute window - and a thinner service the rest of the day. Size the fleet to the peak and the headway you want, and the rest of the schedule follows.
Headway is the number delegates feel
Delegates do not experience vehicle count, they experience waiting. A fifteen-minute headway feels like a service; a thirty-minute headway feels like a problem, whatever the capacity maths says. Decide the headway first, then work backwards to how many coaches and Sprinters that requires across your route.
Know the venue's rules before the timetable
Every major Toronto venue has its own coach staging and loading-dock rules, and they are not published on the events page. The Metro Toronto Convention Centre, the Enercare Centre and the International Centre in Mississauga each handle delegate drop-off differently. Our attractions and venues guide covers the practical detail for the major sites.
One dispatcher, one number, for the duration
During the event, someone from the operator should own the programme and be reachable on a single number - not a general reservations line. That person holds the spare vehicle, moves capacity when the afternoon session overruns, and answers the organiser rather than the switchboard. It is the difference between a shuttle programme and a pile of bookings.
VIP movements sit outside the shuttle
Keynote speakers, sponsors and board guests should not be on the loop. They want a dedicated car with a named chauffeur and, frequently, meet and greet at Pearson on arrival. Plan those separately from the delegate programme or they will disrupt both.

The rest of the trip, booked in one place
